Allaiya Ballaiya Sarvajanik Trust · Effective July 2026

This policy explains how we collect and use personal information when you register for Allaiya Ballaiya 2026 (30th Edition), October 11–20, 2026, at Panchshil School Ground, Manjalpur, Vadodara.

Data we collect

• Participant name and date of birth
• Parent or guardian name
• Mobile / WhatsApp number (and optional email)
• ID photo (Aadhaar or school ID)
• Face photo (with your explicit consent)
• Payment confirmation details (via Razorpay — we do not store card numbers)

How we use your data

• Event registration — to verify age eligibility and issue your pass
• Pass delivery — to send your digital QR on WhatsApp and link your physical card
• Gate entry — staff may view your face photo to confirm identity at the venue
• Photo gallery — event photographs may include participants; gallery access is managed separately by the Trust

Storage & security

Photos and registration data are stored securely on Google Cloud / Firebase. Face and ID photos are not publicly accessible; staff access is via time-limited signed links only. QR pass images are shared via WhatsApp for card collection.

Retention

Registration data, ID photos, and face photos are deleted within 30 days after the event ends (by November 20, 2026), unless we are required by law to retain them longer.

Your rights

You may request access to or deletion of your data before the retention period ends by contacting us below. Providing accurate information is required for registration; false information may result in pass cancellation.
